Special Assistant to the Vice-President, Academic - Academic Planning

Sub-series consists of records relating to the activities of Kathy Heinrich, appointed Special Assistant to the Vice-President, Academic – Academic Planning (1996-1999). Activities and topics documented include university faculty renewal planning, development of the university's accountability framework and participation in the Minister's Forum on Universities ("Accountability Forum") in 1997, development of the university's mission statement, and the activities of the Ad Hoc Committee on Planning Priorities (1997). Records include correspondence, reports, planning documents, notes and working papers.

The fonds consists of records made or received by the Office of the Vice-President, Academic in the course of its activities. Activities documented include development of university policies and procedures; supervision of units reporting to the VPA; budget planning and allocation; participation in university committees; liaison with internal and external bodies, including SFU faculties and departments, employee associations and unions, government bodies, other universities, and external associations; space management, allocation, and planning; and speeches and engagements undertaken as a representative of SFU. Committee records and correspondence

Series consists of records relating to the Vice-President, Academic's committee work, including participation or correspondence with Senate committees, Board of Governors committees, other standing and ad hoc university committees and task forces, search committees for senior university administrators, and external (non-SFU) committees. Records include correspondence, reports, and policies and procedures; meeting agendas, minutes, and supporting papers; terms of reference, and memberships lists; policies and procedures; and some case files.

Senate

Sub-series consists of records relating to the Vice-President, Academic's involvement with Senate and various Senate committees. It is not always possible to determine whether the records represent the VP Academic's working file as a committee member or rather correspondence between the VP and the committee. Vice-President, Academic - correspondence

Series consists of records relating to the activities of the Office of the Vice-President, Academic, including budget planning, involvement in teaching and faculty staff matters, meetings with other senior university administrators, and supervision of university departments that reported to the VP Academic, either directly or indirectly through the Associate VP Academic. Registrar / Dean of Student Services

Sub-series consists of records relating to the Vice-President, Academic's interactions with the Registrar (Registrar / Dean of Student Services after 1996) and with university departments during the periods in which they reported to the Registrar / Dean, including the University Archives. Most of the functions of Student Services were merged with the Registrar's Office in 1996 and the Registrar became the Registrar / Dean of Student Services. Throughout the period covered by this series, the Register / Dean reported to the VP Academic, either directly or indirectly through the Associate VP Academic. Activities and topics documented include enrollment, admissions, registration procedures, high-school liaison, and student recruitment; grading policy, class scheduling, and calendar revisions; Registrar's Office organization and staff relations; the telephone registration project (1990-1991); development of student information systems, including a systems plan (1980), the design and implementation of the SIMON database (1986), and planning (from 1996) for the replacement / migration of SIMON; and implementation of compliance with the BC Freedom of Information and Protection of Privacy (FOIPP) Act (from 1995). Records include correspondence, reports and statistics, job descriptions, IT systems technical specifications and planning documents, and FOIPP advice and access request case documentation.

Archives / Freedom of Information

Sub-sub-series consists of the Vice-President's correspondence with, related to, or copied from the University Archivist / Information and Privacy Coordinator during the period when the University Archives reported to the Dean of Student Services. The correspondence primarily deals with matters relating to the Archives' administration of the Freedom of Information and Protection of Privacy (FOIPP) Act. Activities and topics documented include the processing of individual access to information requests, policy development, access and privacy advice, and the provincial Information and Privacy Commissioner's site visit to SFU in 1997. Records include correspondence, reference material relating to FOIPP, advice, access decision letters, and the submission of the University Presidents' Council (TUPC) to the Special Committee of the BC Legislative Assembly reviewing the FOIPP Act (1998).

Analytical Studies

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from Analytical Studies during the period in which it belonged to the VP Academic's reporting portfolio (1985- ). Activities and topics documented include provision and analysis of data to support academic planning, student academic experience surveys, instructional load reports, and classroom utilization studies. Records include correspondence, reports, statistics, and surveys.

Academic Computing Services - general

Sub-sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Director of Academic Computing Services (ACS). Since its inception in 1991, ACS has remained within the reporting portfolio of the VP Academic. Activities and topics documented in the correspondence include operations of the SFU Microcomputer Store, including its reorganization in 1992-93; policy development and stategic planning for IT services, including the review of ACS and Operations and Technical Support (OTS) in 1998; and systems upgrade planning. Records include correspondence, agreements, strategic plans and other planning documents, and reports.

Centre for University Teaching

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Centre for University Teaching. The Centre was established in 1994 and ceased operations in 2000, when it merged with the Instructional Media Centre to form the Learning and Instructional Development Centre (LIDC). During the whole of its existence, the Centre reported to the VP Academic. Activities and topics documented in the correspondence include the administrative organization of the Centre, development of teaching support programs and services, methods of evaluating teaching, and the activities of the Instructional Support and Development Group. Records include correspondence, meeting minutes, and reports, including annual reports of the Centre.

University matters - correspondence

Series consists of records relating to the Vice-President, Academic's interactions with the President, other SFU Vice-Presidents, and the administrative departments that reported to them, as well as correspondence relating to university-wide matters in general. Activities and topics documented include liaison with the federal and provincial governments, budget planning, tuition fees, university reorganization, legal advice, liaison with other senior administrators and other university administrative departments, and relations with non-faculty union and employee associations. President's Office - general

Sub-sub-series consists of records relating to the VP Academic's interaction with the President's Office. Activities and topics documented include the Vice-President's reporting relationship to the President (meetings, advice, reports); inter-university cooperation, government liaison and international activities involving both Offices; university ceremonies and fundraising; the President's investigations of complaints; policy development, including the creation of a harassment policy; government funding, the budget crisis of 1985 and the reorganization of the faculties with the dissolution of the Faculty of Interdisciplinary Studies. Records include correspondence, minutes, legal advice, press releases, and university planning documents and mission statements.
