Registrar

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Registrar's Office. Although the Registrar reported to the VP Academic from the outset, for the first two years of the file classification plan (1970-1971), correspondence with the Registrar was grouped under "Administration." Activities and topics documented in the correspondence include department organization, calendar preparation, registration issues including pre-registration in the context of the trimester system, enrollment and convocation. Records includes correspondence, reports, and a transcript of the Acting VP Academic's comments to Senate on pre-registration on December 1, 1969.

Bursar / Budget / Finance Department

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Bursar's Office and later the Finance Department. The sub-series generally coincides with the tenure of D.H.M. Ross as Bursar (1965-1985). Activities and topics documented in the correspondence include the administrative organization of the department, university budget planning, faculty salaries and salary policy, and account charges and transfers. Records include correspondence, reports, organization charts, financial statements and budgets.

Athletics and Recreation

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from Athletics and Recreation, which reported to the VP Administration during this period. Activities and topics include program development and development of university athletics policy. Activities include correspondence, reports, and brochures and other printed material.

Vice-President, University Services - general

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Dean of Student Affairs (1969-1970) and the Vice-President, University Services (1970-1978). With the resignation of the VP University Services in 1977, most of the functions of this office were transferred to the Director of Student Services (see sub-series 3). Activities and topics documented include the administrative organization of the VP University Services portfolio, budget planning and allocation, day care, student housing and residence, and the cooperative education program. Records consists predominantly of correspondence.

Student Services

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from Student Services. The Director of Student Services took over most of the VP University Services' functions upon the latter's resignation in 1977. Activities and topics documented in the correspondence include development of student services programs, including health and employment services; an external review of residence and housing in 1979; post-graduation activities of SFU students; and liaison with the Simon Fraser Student Society and the Peak newspaper. Records include correspondence and reports.

Canadian Association of University Teachers (CAUT)

Sub-series consists of records relating to the Vice-President, Academic's interactions with the Canadian Association of University Teachers (CAUT). Activities and topics documented include CAUT's 1971 censure of SFU relating to the dispute in the university's Political Science, Sociology and Anthropology (PSA) Department, university governance, faculty benefits, and development of research ethics policies. Records include correspondence, reports, news releases and other CAUT printed material.

Association of Universities and Colleges of Canada (AUCC)

Sub-series consists of records relating to the Vice-President, Academic's interactions with the Association of Universities and Colleges of Canada (AUCC). AUCC is a public policy and advocacy organization for Canadian public and private not-for-profit universities and university-degree level colleges. Records include correspondence, reports, and AUCC statistics, briefs, news releases, bulletins, brochures and other printed matter.

Colleges

Series consists of the Vice-President, Academic's correspondence with officers of BC colleges, including the British Columbia Institute of Technology (BCIT), the University College of the Cariboo (UCC), and Kwantlen University College. Activities and topics include inter-institutional liaison and cooperation, and comments on college academic programs. Records include correspondence, reports, meeting notes, legal advice, and press releases and bulletins.

Joint university / college projects

Sub-series consists of records relating to projects undertaken jointly by SFU and other universities and colleges, including Fraser Valley College, Cariboo College, the Shuswap / Secwepemc Cultural Education Society (SCES), and The University President's Council (TUPC), a forum comprising the presidents and senior administrators of British Columbia's universities. Records include correspondence, reports, proposals, budgets, meeting minutes, agreements, and notes and working papers.

Board of Governors

Sub-series consists of records relating to the Vice-President, Academic's involvement with the Board of Governors and various Board committees. It is not always possible to determine whether the records represent the VP Academic's working file as a committee member or rather correspondence between the VP Academic and the committee. University Committees

Sub-series consists of records relating to the Vice-President, Academic's involvement with the various university committees, both standing and ad hoc. The VP Academic's relation to particular committees may vary: the VP may be a member; or the senior administrator to which the committee reported; or a correspondent. For a general description of record types, see the description for the series of committee records and correspondence as a whole (series F-200-8).

Instructional Media Centre

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from the Instructional Media Centre (IMC) during the period in which IMC reported to the VP Academic (1973-1985; 1990- ). Note that the department was called the Audio Visual Centre until 1981, and in 2002 it merged with the Centre for University Teaching to become the Learning and Instructional Development Centre (LIDC). Activities and topics documented in the correspondence include the establishment of the Audio Visual Centre as department administratively independent of the Library (1973); policy development, including the audio-visual equipment policy; provision of audio-visual support services to faculties and departments, and costs and charges; administrative organization and staff relations; administration of Images Theatre; and the activities of the Audio-Visual Committee (1972) and the Instructional Media Centre Advisory Committee (1982-1983). Records include correspondence, meeting minutes, reports and statistics, policies, drafts and working papers.

Cooperative Education

Sub-series consists of the Vice-President, Academic's correspondence with, related to, or copied from Cooperative Education, which has remained in the VP Academic's reporting portfolio since its establishment in 1978. Activities and topics documented include program development, liaison with Senate and Senate committees, budget, federal and provincial funding, the external review of Cooperative Education in 1982-83, and the activities of the SFU Coop Advisory Council. Records include correspondence, reports, program proposals, presentations, enrollment statistics, agreements, and notes and working papers.

Special Assistant to the Vice-President, Academic - Information Technology

Sub-series consists of records relating to the activities of Bill Glackman, appointed Special Assistant to the Vice-President, Academic – Information Systems and Educational Technology (1996-2000), then Assistant Vice-President (2000-2001). Activities and topics documented include IT systems planning and development of teaching and learning technologies. Records include correspondence, reports, and terms of reference.

Renewal, tenure and promotion

Sub-series consists of records relating to faculty renewal, tenure and promotion. Activities and topics documented include development of policy and procedures, and the activities and recommendation of the various Faculty Tenure Committees. Records include correspondence, statistics, presentations, lists of faculty for consideration, and recommendations.

University committees and task forces

Sub-series consists of records relating to the activities of various university committees and task forces. It is not always possible to determine whether the records represent the VP Academic's working file as a committee member or rather correspondence between the VP and the committee. Records include correspondence, reports, meeting minutes, policies, and legal advice.

Faculty, academic, and research matters

Sub-series consists of records relating to matters affecting the teaching and research of university faculty and the academic operations of the university. Activities and topics documented include academic program development, including Resources and Forestry Management and the Masters of Publishing programs; First Nations education, including the SFU / Secwepemc Cultural Education Society program; endowed chairs, faculty resignations, mandatory retirement, and the evaluation of teaching, including the Gates-Kennedy Report (1979) and faculty responses; research proposals and projects, university-industry liaison, and development of research facilities, including Research / Discovery Park, and proposals for a Slowpoke Neutron facilities, a joint-university particle accelerator, and a microelectronics facility. Records include correspondence, reports, proposals, financial statements, agreements, notes and working papers, and reprints and other printed reference material.

University matters - general

Sub-series consists of files relating to university-wide matters and which did not fall under more specific classification categories. Activities and topics documented include conferences held on campus, conference funding, and the adoption of the metric system at the university. Records consist predominantly of correspondence.

Government

Sub-series consists of records relating to the Vice-President, Academic's liaison with provincial and federal government bodies. Activities documented include meetings with Ministry officials, and advocacy of the university's views on government policy. Records include correspondence, discussion papers, briefs, speeches, meeting minutes, and government press releases and wide-distribution memoranda.

Vice-President, Financial Services

Sub-series consists of records relating to the Vice-President, Academic's interactions with the Vice-President, Finance (VP Financial Services after 1988), with university departments during the periods in which they reported to Financial Services, and with unions representing non-faculty staff on campus. The correspondence begins shortly after the appointment of E. Scott to Vice-President, Finance in 1984, and continues with Scott's successors. Activities and topics documented include organization of the Financial Services portfolio; policy development and implementation, including budget, tuition fee, staff study leave and strike policy; payroll, accounting, capital planning; development of the administration information system for payroll and personnel; and joint meetings, consultations, and negotiations between the university and the Administrative and Professional Staff Association (APSA), the Teaching Support Staff Union (TSSU), and the Canadian Union of Public Employees (CUPE). Records include correspondence and reports; budget applications, capital plans, and financial statements; and meeting agendas, minutes and supporting papers.

Vice-President, Research

Sub-series consists of records relating to the Vice-President, Academic's interactions with the Vice-President, Research / Information Systems (VP Research after 1990), records relating to SFU research institutes and external granting agencies, and correspondence with university departments during the periods in which they reported to the VP Research, including the University Archives, Computing Services, the University Library and Bookstore, the Animal Care Facility, and the University / Industry Liaison Office. The correspondence begins with the appointment of Tom Calvert as the first Vice-President, Research / Information Systems in 1985 and continues with Calvert's successors. Note that in 1985 the Office carried forward a number of pre-1985 files relating to research centres and institutes and integrated these into the new series. Activities and topics documented include organization of the VP Research portfolio; development and implementation of university research policy; research grants and professorships, and correspondence with granting agencies, including the Natural Sciences and Engineering Research Council (NSERC), the Social Sciences and Humanities Research Council (SSHRC), and the Science Council; records relating to research centres and institutes, including unsuccessful proposals; development of the student information system (SIMON); and the deliberations and activities of a number of university committees including the SFU / Canada Foundation for Innovation Steering Committee, the University Publications Committee, the President's Research Grant Committee, the University Radiology Safety Committee, and the University Computing Advisory Committee. Records include correspondence and reports; policies, drafts, and working papers; research centre proposals, applications, agreements, budgets, and annual reports; research grant proposals, summaries, and awards lists; contracts and agreements; and communiqués and press releases.

Physical Development Centre publications

Series consists of publications relating to the Physical Development Centre and its units, including Recreational Services, Athletics, and the Department of Physical Development Studies. Records include booklets, brochures, leaflets, and posters.

Field Programs publications

Series consists of publications relating to the services, events, conferences and workshops offered by the Field Programs division of the Faculty of Education. Records include pamphlets, brochures, and information sheets.

Executive Committee files

Sub-series consists of the agendas, minutes, and supporting papers of the meetings of the Executive Committee. Supporting papers include reports, proposals and recommendations, correspondence, policies, budget papers, capital budget requests, teaching / research schedules and office allocations, and course proposals and descriptions.

Savage Beagles / Management Meeting files

Sub-series consists of records made or received by the Management Meeting / Savage Beagles in the course of their activities and deliberations. Activities documented include programs for school associates, faculty associates and program coordinators (conferences, events, orientation); external programs planning and liaison with school districts; PDP staffing and budget; and PDP curriculum, intake, and student placement. Records prior to 1985 consist solely of meeting agenda and minutes; from 1985-1987 meeting support papers were also maintained, including correspondence, reports, orientation schedules, and lists of appointments of associates and coordinators.
